FAQ

  1.   Doesn’t your office feel that improving productivity and increasing cash flow would be a great benefit to your office?

One of the latest advancements in technology today is electronic claim submission.  Banking transactions, credit card purchases, tax returns, etc., have all been made more efficient and expedient through the use of electronic claim submission.  Your office may already be submitting claims for government insurance carriers (i.e. Medicare/ Medicaid, Blue Cross/Blue Shield) electronically.  But are you submitting all your claims via one transmission and does the claim submission have a 99% accuracy rate?  With electronic claim submission, commercial carriers are paying their claims usually within five to fifteen days.  For the government insurance agencies claims are paid within three weeks.  Medical practices that are not participating in a Preferred Provider Organization (PPO) of government insurance carriers are also paid within the same time period PPO participants are paid.  Also CAMPUS, HMO’s, and other commercial PPO’s can be submitted electronically.  With savings of $6.00 to $8.00 on the processing cost for the insurance company, wouldn’t fee negotiation be a lot easier for the physician?  Double patient billing is also seldom required since the patient EOB may be received before the next office visit.  The need for follow-up on the insurance carriers is also greatly reduced since with electronic claims submission there is a 98% accuracy rate.  With the paperless society right around the corner, the only question your office needs to answer is

“If you were ever going to save time and money, when do you think would be the best time to start?”

2.    How much does your electronic claims submission software system cost?

The cost to the office is $0.00 for the  software module.     The submission reports are either mailed, faxed, or e-mailed to the office.  The insurance network operates nationwide and claims can be submitted to commercial carriers, government carriers, or both.

3.    Are you happy with your current office management software package?

Well, we have found in many practices the physician isn’t even familiar with the office management software package because it’s the responsibility of the office manager.  The physician may not be familiar with the problems or features of their current software package or the office manager may not have the time to research a new software or EDI product.  Instead the office limps along not reaping the benefits of improve office automation that would help improve their business performance $ and patient care.

4.    How old is your current software package?

Software packages older than 3 years are probably not making use of the latest technology.  The software package might be slow, patient record access is probably slow (data files can contain as high or higher than 60,000 patient records), user input may be obsolete or crude, etc.  Medical Proclaim uses the latest technology in software code, the code is complied/created using the latest 32 bit computer architecture, older software may still be using the old 16 bit architecture. Medical Proclaim uses FoxPro’s RushMore technology which offers the industry’s fastest rated database management system for records access, with search speeds up to 37 times faster than competing products.  Menu and user input is done using pull-down menus.  The data files are cross-platform compatible and can be run on Macintosh or PC (under DOS or Windows).

NOTE:  Even though the software package may have been rehosted on a 32 bit machine it doesn’t mean that the software has been complied using the new machine’s 32 bit architecture.  The new 32 bit compilers have only been released to the marketplace in the last couple years (for IBM compatible machines).

5.    Is your data entry cumbersome or are you required to know what data is needed (or assume is needed) to be entered next (example:  search screens) before an entry can be completed?

Many systems (like Mega for example) assume that the information that is about to be entered next is known.  With Medical Proclaim, information is readily available to help simplify data entry.  Pull down menus and search screens all help the users to quickly complete the task of data entry.  The user doesn't have to go searching some place else (like a filing cabinet) if the person gets stuck.  With Medical Proclaim data entry becomes quick and easy.

6.    Does the hardware or Software require a yearly maintenance contract?

Hardware maintenance contracts for many offices and especially clinics are a major cost expenditure for the office.  Maintenance contracts for a MicroVAX computer system can be as high as $20,000 to $25,000 a year.  With the release of the Intel Pentium processor in the past years and Apple’s Power PC, Medical Proclaim can be a host on one of these commercially ready available computer platforms at a cost far below what the medical office currently may be paying in maintenance fees every year. This means that with PACANO and Medical Proclaim, there is no need for maintenance contracts of that kind.

  7.   Does your office management software package require a lot of support or how is your support?

The amount of support the office requires for its office management software package might be a clue to how difficult the software package may be to use or the amount of training they may have received. PACANO recognizes that training is a major problem for offices and emphasizes training above support revenue. We realize the medical offices need to be committed to providing patient care, not “soft-care”.

8.   Does your office management software package offer data security?

Data security is a problem for many offices, an employee may have unlimited access to patient data records or accounting information.  This information may be easily modified so to embezzle money from the medical office or destroy patient information.  Medical Proclaim offers data security, the employee can be restricted or limited to the amount of patient information he or she may have access.  Also, accounting information cannot be modified, so if an employee tries to embezzle money from the office they leave a trail for the accountant.  The cost of data security violation by disgruntled employees or embezzlement can be costly for the medical office in legal fees and time.  Also, through the use of daily and weekly reports the physician can monitor the practice for these potential problems.  Why should the physician worry about its employees integrity when sanity and security is readily available?

9.   Does your office management practice system give you outcome analysis and reports on the health and profitability of the practice and services provided to the patient?

Medical Proclaim allows the physician the capability to create/customize reports for their office.  It also generates fixed reports that allow the physician to monitor daily, weekly, monthly, and yearly business activity.  The reports gives the physician the means to monitor business and market indicators that make them aware of the practice’s health and profitability.  An example is the impact of joining into a new HMO, PPO, etc...  This information can also be used by the physician to help improve its practice business performance.  It’s also important for physician’s. The data the office manager and staff members are entering into the computer can be used for future analysis of the quality of patient care provided by the medical office.  Most physicians really want more from their software than just improve productivity and efficiency.  You want a business tool that will ease your burden from business care, to patient care and research.  We at PACANO make every effort to provide that tool to the physician.

10.   Does your office management system do patient and insurance billing, etc.?

Well many office management practice software packages are nothing more than accounting ledgers for the accountant.  Medical Proclaim is a completely integrated office management practice system that does  patient and insurance billing,  account ledger, outcomes analysis, demographics, and etc...  If the physician is spending the time and money for information to be entered into the computer then the physician should reap the benefits from its many uses.

11.    What about training new staff members or retraining of staff member for new duties, how much more will it cost the office?

When PACANO trains an office, the training sessions are  at no extra charge to the office.     The training can be just as valuable as the software package itself, they can save the office large sums of money and time in training and re-training of new and existing staff members.

12.    How much does your office management practice system costs?

The cost to the office is about $500.00 for the Medical Proclaim! Software Package.  The cost of a new office management practice system is nominal.  The cost of improvement by purchasing a new software package or software upgrade we feel insignificant for a medical office if it improves office efficiency, effectiveness, and the bottom line.
